Syncing Clio Matters to Jira with Zapier: A Legal-Ops Playbook
A Clio-to-Jira sync gives legal operations one reliable picture of matter work: every new matter opens a tracked Jira issue automatically, status changes travel in both directions, and everyone who works in Jira follows matter progress without leaving it. Three Zaps do the work:
- A new matter in Clio creates one Jira issue and writes the issue key back to the matter
- A matter status change in Clio adds a comment to the linked Jira issue
- A Jira status change adds a note to the matching Clio matter
The design is identical for a 5-person firm and a 120-person one, so build the linking fields in from day one.
Prerequisites
- Clio Manage with administrator permissions. The Zapier integration does not support Clio Grow
- Jira Cloud admin access and a project for matter work
- A Zapier plan that includes multi-step Zaps and Filter steps
- A dedicated integration login for Clio, so the Zaps keep running when any one person's account changes
Step 1: Create the Linking Fields
- In Clio Manage, go to Settings → Custom Fields and select Matter custom fields.
- Click Add custom field, name it
Jira Issue Key, choose a text field type, and click Save. - In Jira, select the settings icon, choose Work items, then Fields → Create new field.
- Choose a short text field type, name it
Clio Matter ID, and select Create. - Add the new field to the field configuration and screens your matter project uses.
The two ID fields are what make duplicates and loops preventable. Every Zap below looks up its partner record by ID instead of by name.
Step 2: Connect Clio and Jira to Zapier
- In Zapier, open the Apps page and select + Add connection.
- Search for Clio, select Add connection, sign in with the integration login, and grant permission.
- Repeat for Jira Software Cloud.
Clio Zaps run firm-wide, so a single connection covers every user's matters.
Step 3: Build Zap 1, New Matter to Jira Issue
- Set the trigger to Clio New Matter.
- Add a Filter step so only the practice areas or matter types that need Jira tracking continue.
- Add Jira Software Cloud Find Issues (Via JQL) and search your matter project for the Clio matter ID in
Clio Matter ID. - Add a second Filter step that continues only when the search found no issue.
- Add Jira Software Cloud Create Issue. Map the matter number and description to the summary and description, and the matter ID to
Clio Matter ID. - Add Clio Update Matter and write the new issue key into
Jira Issue Key.
Step 4: Build Zap 2, Clio Status to Jira
- Set the trigger to Clio Matter Status Updated.
- Add a Filter step that continues only if
Jira Issue Keyis not empty. - Add Jira Software Cloud Find Issue by Key using the value from
Jira Issue Key. - Add Jira Software Cloud Add Comment to Issue with the new matter status and a link back to the matter.
Step 5: Build Zap 3, Jira Status to Clio
- Set the trigger to Jira Software Cloud Issue Status Changed, limited to your matter project.
- Add a Filter step that continues only if
Clio Matter IDis not empty. - Add Clio Find Matter using the value from
Clio Matter ID. - Add Clio Create Matter Note with the new Jira status and the issue link.
Zap 2 writes comments and Zap 3 writes notes, so neither one changes the record the other Zap is watching. That separation is what keeps a two-way sync from triggering itself.
Rules That Prevent Duplicates and Loops
- Search before you create, and write the partner ID back in the same Zap
- Have each direction write a different kind of record, such as a comment in Jira and a note in Clio
- If a field must sync in both directions, tag the values a Zap writes and add a Filter with a Does not contain condition for that tag, as Zapier recommends
- Stagger bulk matter imports, because Clio applies an API rate limit of 50 requests per minute during peak hours
Verify
- Create a test matter and confirm exactly one Jira issue appears, with
Clio Matter IDfilled andJira Issue Keywritten back to the matter - Change the matter status and confirm a comment lands on the issue
- Transition the issue and confirm a note lands on the matter
- Open Zap history and confirm each Zap ran once per change
Troubleshooting
- Two Jira issues for one matter. The search step did not match. Confirm
Clio Matter IDis on the project's screens and the JQL uses the exact field name. - A Zap runs over and over. Turn it off, review Zap history, and confirm each direction writes a different record type.
Clio Matter IDis missing from Create Issue in Zapier. The field is not on the project's create screen. Add it, then refresh fields in the Zap editor.
