How to Write Prompts Your Whole Team Can Reuse

Reusable team prompts give everyone at your company the same high-quality answer from AI tools on the first try, and they turn one person's best prompt into a shared asset. Building them into shared Claude or ChatGPT projects from day one means a new hire gets the same results as your most practiced user. This guide covers four tasks:

Before You Start

Write the Prompt With Four Parts

  1. Write the role: who the model is acting as, such as an IT support analyst for your company.
  2. Write the context: the facts the model needs, such as your tool stack, policies, and audience.
  3. Write the task: one clear instruction that starts with the action verb.
  4. Write the format: the output shape, such as a numbered checklist, a table, or a ticket-ready reply.
  5. Wrap each part in XML-style tags such as <context> so the model and your teammates see where each part starts.
  6. Replace anything that changes per use with a labeled placeholder such as {{employee_name}}.

Store It in a Shared Claude Project

  1. Open claude.ai and select Projects.
  2. Select + New Project and name it after the workflow, such as IT Help Desk Replies.
  3. Select Set project instructions, paste the role, context, and format parts, then select Save instructions.
  4. Select + to add reference files such as your IT policy or app inventory.
  5. Select Share project, add teammates by name or email, and set each to Can view or Can edit.
  6. Select Share.

Give Can edit to the prompt owner only, so instructions change through one person.

Store It in a Shared ChatGPT Project

  1. Select New project in the sidebar and name it after the workflow.
  2. Select ••• → Project settings.
  3. Paste the role, context, and format parts into the instructions field.
  4. Upload your reference files to the project.
  5. Select Share and invite teammates or groups.
  6. Set the prompt owner to Edit and everyone else to Chat.

Version and Test Each Prompt

  1. Keep the master copy of each prompt in your wiki or a Git repository, with a version number and date on the first line.
  2. Write down what a correct answer contains before you change the prompt.
  3. Save a small set of real past inputs as a test set.
  4. Run the test set against the new version and the current version.
  5. Paste the stronger version into the project instructions and record the change in a changelog.
