Cowork: Folder Access Not Picking Up the Right Files — Fix

You ask Cowork about files in a folder and get back a response that ignores them, claims the folder is empty, or names files that aren't there. Cowork can only see the folder you've explicitly granted access to. The fix is almost always a one-click folder reselection in the folder picker. If that doesn't work, the OS may have blocked the read and a re-permission will fix it.
Quick Fix
- Click the folder icon at the top of the Cowork chat panel (next to the folder name).
- The folder picker opens. You'll see the currently active folder.
- If it's the wrong folder, click it to deselect it and then click it again to reselect it. Or select a different folder.
- The active folder name updates in the chat header.
- Retry your prompt. Cowork now sees the correct folder.
If the folder picker shows the right folder is active and Cowork still doesn't see the files, continue to the next section.
Wrong or No Folder Selected (Most Common)
How ScaleIT handles this: See AI Quick-Start
Cowork only sees the single folder you've granted explicit access to. If no folder is selected, Cowork has no file access at all. If the wrong folder is selected, Cowork is reading a different directory than you think.
Fix: Open the folder picker (top of the chat panel) and confirm the active folder. The active folder name should appear in the chat header. If it's blank or wrong:
- Click Choose Folder (or the current folder name).
- Navigate to and select the correct folder.
- Cowork now has access to that folder and its files.
For teams that work across multiple folders (one per client, one per project), establish a clear pattern: one folder per workstream, named consistently, and switched at the start of each session. The cost of a fresh folder selection is one click; the cost of a confused agent reading the wrong files is much higher.
OS Permissions Blocked the Read (Less Common)
macOS sometimes prompts for folder access permission and the prompt is missed behind another window or dismissed by accident. Windows antivirus software occasionally silently blocks the read. In both cases, reselecting the folder triggers the permission prompt again.
Fix:
- macOS: Reselect the folder (Quick Fix, step 1 to 4). If a permission dialog appears, click Allow. If no dialog appears, the permission is already granted.
- Windows: Reselect the folder. If antivirus is blocking the read, check your antivirus settings and add Cowork.exe to the whitelist. Then reselect the folder.
After granting permission, Cowork should see the files normally.
Multiple Folder Workflows
Teams that manage multiple projects or clients often need to switch folders frequently. Establish a pattern to avoid confusion:
- Name folders consistently. Use a structure like
Client-Name/Project-Typeor2026-ProjectNameso folder names are unambiguous. - Switch folders at the start of each session. Open the folder picker first thing and confirm the active folder.
- Reference the folder name in chat. If relevant to your prompt, mention the folder in your message: "In my ClientA folder, find all March invoices."
A clear naming and switching pattern prevents accidental reads of the wrong folder's data.
Verify
- The folder name appears in the chat header at the top of the panel.
- When you ask about files in that folder, Cowork lists them accurately.
- File counts and dates match what you see in Finder (macOS) or File Explorer (Windows).
Still Failing?
If the folder is selected but Cowork still can't see files:
- Open Finder (macOS) or File Explorer (Windows) and navigate to the folder directly. Confirm the files are actually there.
- If files exist but Cowork can't see them:
- macOS: Open System Settings → Privacy & Security → Files and Folders. Look for Cowork in the list. If it's missing, you may need to grant permission again.
- Windows: Right-click the Cowork shortcut, select Properties → Advanced → Run as administrator (if available), then relaunch Cowork.
- If files are still not visible, contact ScaleIt. We can investigate whether the folder structure or file permissions are preventing access.
